Admin Assistant

Handle emails, invoices, scheduling, proposals, and a bit of project coordination. Ideal for detail-oriented, tech-savvy individuals who love methodical approaches.

Core responsibilities
  • Communication management — Manage communications with clients and freelancers, including emails, DMs, and calls, with prompt, professional responses.
  • Handling invoices — Send out invoices and client billing during projects.
  • Send proposals — Help draft and send project proposals to clients using pre-made templates.
  • Schedule management — Keep calendars organized, schedule meetings, and manage deadlines.
  • Meeting coordination — Organize meetings, prepare documents, and record minutes.

Additional tasks

  • Writing support — Collaborate with the creative team to craft social media posts and website content.
  • Accountability partner — Ensure the team meets daily tasks and internal project goals.
  • Streamline processes – Provide insight to make our workflows smoother and faster, helping our agency grow.
  • Market research — Conduct research and summarize findings for strategic planning.
  • Project tool management — Create templates and maintain Notion for project tracking and team collaboration.
  • Document creation: Help draft Google Sheets and Doc templates.
  • Social media planning — Schedule and track social media content for engagement.
  • Confidentiality — Securely manage sensitive information under NDAs.
  • Administrative duties — Support agency operations with varied administrative tasks.
